Keep the search, not just the results

The database, the exact string, the date it was run and the number of records it returned. Six months later nobody can reconstruct these from a folder of PDFs, and every count in a flow diagram is made of them.

Record a decision against every record

Include or exclude, with the reason, against your own written criteria. This is the single thing that separates a review somebody can audit from a pile of papers that happened to be convenient, and it is the field no reference manager has.

Can an AI write my literature review?

It can produce text about your topic, and submitting that as your own work is misconduct at every institution we are aware of, so the honest answer is no. What AI genuinely helps with is speed inside the method: suggesting search terms, summarising a paper you have read, and flagging candidates at title and abstract stage for a human to decide on. The decision, and the record of it, stays yours.

What actually has to be recorded?

At minimum: every search with its database, string, date and yield; every record with an include or exclude decision and a reason; and the data extracted from what survived. The worked example on this site starts from 412 records returned, of which roughly a fifth were duplicates; about one in six survived title and abstract screening and about half of those survived full text, which lands on 28 included.

Is this only for systematic reviews?

No, but systematic reviews are where it is compulsory. A narrative review chapter benefits from the same record for a selfish reason: when a supervisor asks why a well-known paper is missing, having the exclusion reason on file is a two-minute answer instead of a fortnight of re-reading.
